01 / 04 Enterprise resource planning Product status: Planned

Octivra ERP

Integrated enterprise resource planning for manufacturing and business operations — finance, inventory, procurement and production working from one set of records.

Illustrative concept — product in planning

The business problem

  • Purchasing, stores, production and accounts each keep their own records, so the same transaction is entered two or three times — and rarely agrees.
  • Approvals happen over phone calls and signatures on paper, leaving no reliable record of who approved what, or when.
  • Month-end close means exporting from several systems and reconciling spreadsheets before anyone trusts the numbers.
  • Management cannot see true cost, stock or margin by plant or business unit until weeks after the fact.

Proposed solution

Octivra ERP is designed around a single set of records for the whole operation. A requisition becomes a purchase order, a goods receipt and a vendor invoice without being re-keyed, and each step posts to inventory and the general ledger as it happens. Approval rules follow your delegation of authority, and modules can be adopted in stages instead of one disruptive cut-over.

Key capabilities

  • Financial accounting

General ledger, payables, receivables and bank reconciliation by unit.

  • Procurement

Requisitions, purchase orders, goods receipts and three-way invoice matching.

  • Inventory & stores

Multi-store stock with lots, batches, transfers and issues to production.

  • Production planning

Bills of material, work orders, WIP tracking and actual cost by order.

  • Approval workflows

Configurable approval chains with a complete, time-stamped audit trail.

  • Multi-unit operations

Plants, stores and cost centers kept separate, then consolidated in one view.

02 / 04 Inventory reconciliation Product status: Planned

Octivra StockAudit

Inventory reconciliation, stock valuation and discrepancy analysis that shows exactly where physical stock and the books disagree — and why.

Illustrative concept — product in planning

The business problem

  • Physical counts are written on paper sheets and keyed into spreadsheets days later, long after the stock has moved.
  • When the count and the system disagree, nobody can say whether the cause is a wrong issue, an unposted receipt, a unit-of-measure error or genuine loss.
  • Stock valuation depends on whoever maintains the costing spreadsheet, and auditors rebuild it from scratch every year.
  • Adjustments and write-offs are posted without a record of who counted, who approved and why.

Proposed solution

StockAudit is designed to treat every count as a controlled process. Counts are planned by store, location or category and captured against a frozen system snapshot, so variances are calculated the moment a count is submitted. Each difference is traced to the transactions behind it, valued by your costing method and routed for recount or approval before any adjustment reaches the books.

Key capabilities

  • Count planning

Full, cycle and spot counts by store, bin, category or value class.

  • Snapshot reconciliation

Counted quantities compared line by line with a frozen system balance.

  • Variance analysis

Differences traced to the receipts, issues and transfers behind them.

  • Stock valuation

Weighted average, FIFO or standard cost, applied the same way every time.

  • Recount & approval

Tolerance rules trigger recounts; every adjustment needs sign-off.

  • Audit trail

Who counted, who approved and what changed — permanently recorded.

03 / 04 HR & payroll (HRMS) Product status: Planned

Octivra HR

Employee management, attendance, payroll and workforce operations for organizations with shifts, departments and multiple locations.

Illustrative concept — product in planning

The business problem

  • Attendance from biometric devices, shift registers and leave forms is merged by hand before every payroll run.
  • Rotating shifts, overtime, night allowances and late-arrival rules live in spreadsheet formulas — and in one person’s head.
  • Payroll closes under deadline pressure, with corrections, arrears and loan deductions handled as manual adjustments.
  • Employee records, contracts and leave balances are scattered across files, departments and locations.

Proposed solution

Octivra HR is designed to make payroll the result of clean attendance, not a monthly reconstruction. Device punches, shift rosters and approved leave come together in one daily attendance record. Overtime and allowance rules are configured once, by policy, and payroll runs as a reviewable draft in which every figure traces back to the day and the rule that produced it.

Key capabilities

  • Employee records

Profiles, contracts and documents, organized by department and location.

  • Attendance & devices

Imports from biometric and card devices, with exceptions flagged daily.

  • Shift rosters

Rotating and fixed shifts, swaps and weekly offs for production teams.

  • Leave management

Leave policies, balances and approval chains for employees and managers.

  • Payroll processing

Allowances, deductions, overtime, loans and arrears in a reviewable draft.

  • Payslips & reports

Payslips, tax and contribution reports prepared from the same records.

04 / 04 Business intelligence (MIS) Product status: Planned

Octivra Insights

Business intelligence, executive dashboards and operational reporting that give management one trusted view of the numbers.

Illustrative concept — product in planning

The business problem

  • Management reports are assembled by hand from several systems, so every figure arrives late and with a caveat.
  • Sales, production and finance report different numbers for the same thing, and meetings start by debating whose figure is right.
  • Plant and unit heads see their own figures, but nobody sees the whole business on one page.
  • Every new report request queues behind the one person who knows how to query the database.

Proposed solution

Octivra Insights is designed to give management one trusted view of the numbers. Data is drawn from Octivra ERP or your existing databases into a governed reporting model, where measures such as revenue, margin and stock value are defined once. Dashboards and scheduled MIS packs are built on those definitions, so every department reads the same figure — and can drill down to the transactions behind it.

Key capabilities

  • Executive dashboards

Revenue, margin, stock and output on one page, by unit or company.

  • Departmental views

Focused dashboards for sales, production, procurement and finance.

  • Scheduled MIS reports

Daily and monthly report packs delivered to the right people.

  • Drill-down

From a headline figure to the documents and transactions behind it.

  • Defined measures

One agreed, documented definition for every KPI on every screen.

  • Works with existing data

Connects to SQL Server databases, existing ERPs and structured spreadsheets.

Our approach

How we are building the product line

A product should earn its place by solving a problem real operations face every day. These are the principles every Octivra product is being designed around.

  • Built with real users

Each product is shaped with the store keepers, accountants, planners and managers who will use it, starting from their documents and exceptions.

  • Modular by design

Products share one core of records, so an organization can start with one module and add others without re-entering data.

  • Works with what you have

Imports, APIs and integrations are planned from the start, so a product can sit alongside an existing ERP, payroll or spreadsheet process.

  • Your choice of deployment

Products are being designed to run on-premises, in the cloud or in a hybrid setup, to suit your infrastructure and data policies.
